                                   Time Management

Time management basically two types.
1. Positive Time management.
2. Negative Time management.


Positive Time management:
Positive Time management records all the time entered by the employee i.e. Attendance & Over time. Positive Time management is more complex to implement. You need to configure attendance for each of the type of work you do.

In Positive Time management there are two types of time recordings:
1.With clock times - Complete time recording is captured.
2.Without Clock times - Only Number of hours worked is captured.

Negative Time management:
Negative Time management records only the deviations to the set work schedule (planned working time). It has less level of integration among the different components of time management.No clock times and assumed employee is working unless and until his or her absences are entered.

There are 2 Mechanisms of time recording are available
1.Positive time recording :- Actual times are recorded [actual working times].
2. Negative time recording: - Deviations from a work schedule are recorded.

Scenario:
As per Employee's work schedule she is supposed to work 8 hours every day.
On Monday he works 8 hours
On Tuesday he works 5 hours. (3 hours of leave)
On Wednesday he works 10 hours (2 hours of Overtime )
On Thursday he works 12 hours (4 hours of Overtime )
On Friday he works 2 hours ( 6 hours of leave)

Positive Time recording:
Monday - Enter 8 hours of regular work.
Tuesday - Enter 5 hours of regular work.
Wednesday - Enter 8 hours of regular work and 2 hours of OT
Thursday - Enter 8 hours of regular work and 4 hours of OT
Friday - Enter 2 hours of regular hours.


Negative time recording:
Monday - No time sheet entry
Tuesday - Enter 3 hours of absence.
Wednesday - Enter 2 hours of OT.
Thursday - Enter 4 hours of OT.
Friday - Enter 6 hours of absence.


SAP HR Time Data Includes:
Daily working hours.
Absences [ annual leave, sick leave, long service leave, etc, ]
Time-related payments [ over time, meal allowances, shift allowances, etc]
Absences quotas [ accumulations, deductions, & corrections]

Time types:
Time types play an important part in time Evaluation. 
Time data [attendances or absences] is stored using time types.
Time type’s data base table is T555A.
They help in creating the TIME ACCOUNTS for the employee.

Once the Time evaluation is run we get time wage types which are set to payroll for calculation of remuneration for the employee and also we get Time types which are used to show time accounts (with the help of Time balances) for the employee.

Example: 
If a particular employee worked 10 hours. In a day that 10 hours is stored in ZES (Daily Balance) AND Total cumilation for the whole month say 200 hours  in SALDO (Monthly Balance),  the whole balances are Put in a Time Type.These time types are stored in cluster B2.
T555A - used to view time types for a particular period.
T555Z -Time type determination.

Time types usually contain time balances.
 E.g. Time type xxxx-Reg hours,
Time type yyyy-over time hours.
Time type:zzzz-vacation taken etc.


It is not always a 1:1 relationship. It depends on your needs. Time types can be stored as a daily balance (Table ZES, of B2 cluser) and as cumulative balance (Table SALDO,of B2 cluser). So for e.g. Time type ZZZZ-vacation taken has a daily value on the day vacation was taken (e.g. 8hrs), but also in SALDO it stores the cumulative value e.g. on 31 Jan 2013 the value of TT zzzz, could be 40hrs (in case the person took 5 days off over Jan 2013).

These "time types" are then converted into "wage types" (done in Time eval). These "wage types" are stored in table ZL of B2 cluser. (to check B2 cluster, run txn PT66 for an employee).


These wage types are your link to Payroll. When Payroll runs, it picks up these wage types from the B2 cluster and processes them accordingly in Payroll.


Time Data Recording:
captureTo record employee times SAP R/3 Time Management, such as hours worked,business trips, or substitutions, you can use a variety of system.

On line by time administrators.

Separate time recording systems
Cross-Application Time Sheet ( CATS)
Employee Self-services [ESS] applications, such as Internet Application Components [ IACs ], Workflow forms.
Customer[legacy] systems with an interface to the R/3 system.
Categories of Absences & Attendances.

There are two categories of absences:
1. Quota-driven absences
2. Non quota-driven absences

 Quota-driven absences: are absences with allocated limits over a set period [such as annual leave].
Entitlement can be given at the start of the period [e.g. total sum of year] OR can be given gradually [e.g. monthly, depending on local practices & amp; regulations].
Entitlement balances can be added from one year to the next or replaced by a new value each year.


Non Quota-driven absences: are absences that do not have periodic limits [such as study leave, unpaid leave, and bereavement leave].

How to run Time Evaluation in SAP HR: 
Time Evaluation process the employees attendences at work & absences from work to make sure they are paid accordingly.
It evaluates the employees actual working time & absences.
It calculate time-related payments.
It updates absences quotas.

It generate time wage types which are transferred to the payroll Program.






How to run Time Evaluation in SAP HR: 
Enter PT60  ( TRANSACTION CODE ) in the command bar.



In the next SAP screen:
1.Enter Personnel number.
2.Enter Evaluation Schema.
3.Enter Evaluation up to Date ( the date until which time data will be evaluated).

Enter any other selection screen if it is required. Click Execute.


Time should be evaluated & a log must be displayed.


How to Check Time Evaluation Results in SAP HR: 
SAP stores time evaluation results generated by executing RPTIME in cluster B2.
Enter PT66  ( TRANSACTION CODE ) in the command bar.


In the next SAP screen:
1.Enter Personnel number.
Enter any other selection screen if it is required. Click Execute.



In the next SAP screen, double click on the period you want to see the results for.


 In the next SAP screen, double click on the table whose results you want to see.
